Responsibilities
- Responsible for ensuring a quiet and productive office work environment.
- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
- Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
- Establishes, develops, maintains and updates filing system for president and department. Retrieves information from files when needed.
- Works with employees to improve their skills, and encourages their professional development. Along with the CFO, negotiates and maintains all corporate insurance policies.
- Administers employee benefits programs.
- Maintains and updates employee files.
- Establishes, develops, maintains and updates a library of literature relating to personnel policies and regulations, safety program and regulations, training materials, and information systems manuals and procedures.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Supports market data analyst in maintenance of the department finances. Activities include: copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
- Strives to improve efficiency and reduce costs in those areas that report to him or her.
- Supervises the maintenance of office equipment, including copier, fax machine, etc.
- Attends weekly staff meeting and monthly management team meetings.
